The Resource Allocation Report provides a seven-day interval view of a task assignments for selected group of people based on their defined skills or their location in the organizational hierarchy. This "Resource Histogram" report can be contrasted against unassigned work for particular types of resources. The report displays planned hours across multiple projects and tasks for a specified time frame.
Tasks will only be represented in this report if they are non-closed tasks on Active Projects. In the details area, they are grouped by Project State (Active, Due Diligence, and Planning) and by Project.
The report can be run from the Task edit page, as a what-if scenario using the pending un-saved information by clicking on any of the selected resource names. It will be automatically generated for the date range covered by the task, including all of the resources currently shown on the task.
Note: A similar report is available for all workers assigned to a project.
On the Personal Workspace,
select the menu option Resources
in the Enterprise Reports section
of the main menu to launch the People
Picker.
Add any additional resources to the right side of the People Picker by following Steps 1 through 4. Note that selections can be filtered by the skills identified for individual users.
Select the Resource Allocation Report from the drop down list in Step 5.
Resource requirements for unassigned tasks (where needed skills have been identified) can be added to the bottom of the report by selecting Skills in Step 6. Note that multiple selections can be made by holding down the CTRL key while clicking the options.
Select a From and To date range for the report.
The resulting report can be emailed, by selecting the Email me this report checkbox.
Click the Submit button.
Date Range is the range covered by the task assignments shown in the report, based on the selection made when launching the report.
Standard Hours Per Week is the system-wide baseline set by the System Administrator.
Personal Hours Per Week is the system-wide baseline, unless overridden by the user in their User Preferences.
The Balance Remaining shows the net number of hours available or over-allocated for the period for each resource on the report based on the Personal Hours Per Week.
The expanding Details section shows a list of each task contributing to the report along with the number of hours allocated for each week.
On the bar chart:
The total number of hours "Allocated" is the sum of the user's hours Allocated to tasks, plus the time for any Non-Working Personal Days and Non-Working Company Days.
Unallocated is the Personal Hours Per Week minus the total number of hours allocated for that week, if positive.
Over Allocated is the total number of hours allocated minus the Personal Hours Per Week, if positive.
Skills Required shows the number of hours per week that are unassigned for each selected skill.
